Operations Coordinator

Description

The Operations Coordinator supports the operational functions of the company with specific regard to internal systems support, procurement and purchasing and facility repair and maintenance. This person is also responsible for maintaining the day-to-day functionality of our corporate office as well as the systems put in place to promote a high level of efficiency in the company. This will entail regular system maintenance as well as ongoing project lists.

 

Job Requirements

Requires strong computer and internet research skills, excellent interpersonal skills, project coordination experience and the ability to work well with all levels of internal staff as well as outside clients and vendors. Experience with Google Drive is a plus! Must be able to work in a fast-paced environment with numerous interruptions throughout the day. Ideal candidate must work well independently, be extremely self-motivated and have great attention to detail.

 

Responsibilities

  • Software Systems and Document Maintenance
  • Manage and maintain central Google Drive files
  • Manage Concur to complete monthly expense reporting for corporate office and Locations
  • Manage Negotiatus for Location purchasing needs and budgets
  • Manage vendor relationships and research supply needs of Locations
  • Facility Repair and Maintenance
  • Coordinate repair and maintenance requests from Center Directors and District Managers
  • Manage regular maintenance programs, including pest control, HVAC preventive maintenance, etc.
  • Manage utility accounts for all Locations
  • Coordinate emergency repairs such as plumbing leaks, roof leaks, pest infestation, etc.

 

Office Management

  • Order office supplies and manage deliveries
  • Maintain and clean and organized office environment
  • Sort and distribute incoming mail
  • Distribute paychecks as needed at corporate office
  • Answer phone; check voicemail
  • Receive all visitors and monitor main entrance
  • Research and New Openings
  • Support PKA/NAEYC/NYPO programming requirements
  • New location opening support for utility accounts, supplies and equipment
